Adding Expenses

Recurring Expenses

What Are Recurring Expenses?

Some costs come back on a schedule: rent, a streaming subscription, insurance, a gym membership. Instead of entering them every month, add one once and set it to repeat weekly, monthly, or yearly. On each due date, Receiptix adds the expense for you, whether or not you open the app.

A recurring expense always starts from an expense you already have, whether you scanned it, typed it in, or spoke it. That expense is the first one. Each new one is a copy of the latest.

How to Set Up a Recurring Expense

You can make an existing expense repeat, or set the repeat while you type a new expense in.

1

Open the expense

Open the expense you want to repeat, such as this month's rent, then open its menu and tap Repeat…. For a new expense, use the Repeat field on the manual entry form instead.

2

Pick how often

Choose Weekly, Monthly, or Yearly. A weekly expense repeats on the same weekday, a monthly one on the same day of the month, and a yearly one on the same date.

3

Check the next date

Next on shows when the next copy will be added, counted from the expense's date. You can pick a different date. If it doesn't fit the pattern, the schedule moves to it: a rent receipt dated the 3rd can repeat on the 1st.

4

Save

Tap Repeat. On a new expense, the repeat is saved together with the expense.

What Gets Added on Each Due Date

At 9 a.m. on the due date, in your time zone, Receiptix adds a copy of the latest expense in the repeat and sends you a notification. Tap the notification to open the new expense.

Copied

  • Merchant and amount
  • Line items and their categories
  • Discounts and currency
  • Your tags

Not copied

  • The receipt photo or PDF, so October's invoice never shows up on December's rent
  • Other project members' tags

Each copy is dated its due date and counts in your totals, charts, and widgets like any other expense. In the expense list, a repeat icon marks the ones Receiptix added for you.

Changing the Amount or Details

A recurring expense has no amount of its own. It copies the latest expense, so to change what gets added, edit the latest expense. If your rent goes up, change the amount on the most recent rent expense, and every copy after it uses the new amount.

Editing an older expense changes only that one. When you open the latest expense to edit it, the app tells you the changes carry forward.

Managing Your Recurring Expenses

On the Expenses tab, open the menu and tap Recurring expenses. You'll see the recurring expenses of the space you're viewing, Personal or the selected project, each with its amount, how often it repeats, and its next date. An expense that belongs to a repeat also shows a line like "Repeats monthly · next on Dec 1". Tap it to open the repeat.

Change the Schedule

Tap the schedule to switch between weekly, monthly, and yearly, or to move the next date.

Pause and Resume

Pause it to stop adding copies for a while. When you resume, it picks up at the next due date and doesn't fill in the dates you missed.

Stop Repeating

The expenses already added stay where they are. No new ones are added.

See the History

Every expense in the repeat, newest first. The one you started from keeps its receipt photo, so you can find the original months later.

Recurring Expenses in Projects

A recurring expense lives where its expense is. Set one up on a project expense, and the copies go into that project.

  • Everyone in the project can see its recurring expenses. Only the person who set one up and the project owner can change, pause, or stop it.
  • Copies count as spending by the person who set the repeat up. Other members get the usual new-expense notification.
  • If you leave a project or are removed from it, your recurring expenses there stop.
  • While a project is archived, its recurring expenses add nothing. If the owner unarchives it, the owner's own repeats pick up at the next due date.

Who Can Use It

You need Premium to set up a recurring expense in your personal expenses or in a project you own. In a project someone else owns, you can set one up without your own subscription, because the owner's covers it, just as it covers the expenses you add there.

Changing the schedule, pausing, and stopping never need Premium. Recurring expenses also keep being added if your subscription ends.

Tips & Details

The End of the Month

A monthly expense on the 31st lands on the last day of shorter months (Feb 28, Apr 30) and goes back to the 31st when the month has one. A yearly expense on Feb 29 lands on Feb 28 in other years.

Catching Up on Past Dates

If you pick a next date that has already passed, Receiptix adds one expense for each due date from then until today, shortly after you save. Before you do, the app tells you how many it will add and for which dates.

Scanning the Same Bill

If you also scan a bill within a day of its recurring copy, Receiptix may mark one of them as a Possible duplicate. Both are kept, so delete the one you don't need.

When There's Nothing Left to Copy

If you delete every expense in a repeat, or move them all to another project, the repeat has nothing left to copy and stops.

Paused While You Were Away

Without a subscription, recurring expenses pause if you haven't used Receiptix for 90 days, so expenses nobody is tracking don't pile up. You'll get a notification when that happens. Resume them to start again from the next due date. If you have a subscription, your recurring expenses never pause on their own.
