You fill in the merchant, date, and individual line items with prices and categories. It's the most direct way to log an expense and works for situations where you don't have a receipt to scan or don't want to use voice. Manual entry is available from the first day. Your first expenses are free; after that, a subscription lifts the limit. Free to start ## How to Enter an Expense Manually 1 #### Start a new expense Tap the **+** button on the home screen and select **Manual Entry**. 2 #### Fill in the header Enter the **merchant name**, pick a **date** using the date picker (future dates are not allowed), and select the **currency**. The currency auto-detects based on your recent receipts or the active project's default. 3 #### Add line items Each item needs a **name** (required), **quantity** (supports decimals like 1.5), **unit price**, and a **category** (chosen from 27 built-in categories). Add as many items as you need. 4 #### Add discounts (optional) Apply a discount to individual items, or set a receipt-level discount that distributes proportionally across all items. 5 #### Tag it (optional) Attach up to **10 tags** per receipt for filtering and organization. Refund items (those with a negative price) can't have discounts applied to them. The app enforces these rules and will show an error if something doesn't add up. ### Two Kinds of Discounts **Item-level discounts** reduce the price of a specific item. **Receipt-level discounts** apply a flat amount distributed proportionally across all items based on their share of the subtotal. ### Currency Auto-Detection The currency field defaults to whatever you used on your most recent receipt, or the default currency of the active project. You can always change it manually. ### 27 Built-In Categories Each line item gets assigned to one of 27 fixed categories. Premium feature ## How to Use Voice Mode 1 #### Tap the Microphone Open the add expense menu and select voice mode, or tap the microphone icon from the home screen. 2 #### Speak Your Expense Describe what you spent in your own words. Include the merchant, items, and amounts. You'll see real-time transcription on screen. 3 #### Confirm or Retry Review the generated expense. You can confirm to save it, retry the dictation, or cancel. ## What You Can Say There's no special format or syntax. Just describe the expense the way you'd tell a friend: "Spent thirty-five dollars on lunch at Chipotle" "Taxi to the airport, twenty-two fifty" "Paid fifty euros for museum tickets and ten euros for coffee" "Grocery run at Whole Foods, about a hundred and twenty bucks" The AI handles amounts in different formats, mentions of currency, and natural phrasing. You don't need to structure your speech in any particular way. ## Edit with Voice Voice mode isn't just for new expenses. You can also use it to edit existing receipts. Open any expense, tap **Edit with Voice**, and describe the changes you want to make. The AI updates the receipt based on your instructions. **Example:** Open a receipt and say "Change the merchant to Target and add a five-dollar item for batteries." The AI applies both edits. ## Tips & Details ### Recording Limits Maximum listen duration is **10 minutes**. After that, recording stops automatically. You'll have plenty of time for even the most detailed expense descriptions. ### Pause Detection The app detects when you stop talking. On **Android**, it waits 10 seconds of silence before stopping. On **iOS**, it waits 30 seconds. You can also stop manually by tapping the microphone again. ### Language Support Voice mode supports **50+ languages** for speech recognition. You can change the speech recognition language in your app settings. The AI processes your speech in the selected language and creates the expense accordingly. ### Visual Feedback While you speak, you'll see a microphone visualization that responds to your voice in real time, along with the transcribed text appearing as you talk. This helps you confirm the app is hearing you correctly. ### Requires Internet Voice mode uses cloud-based speech recognition, so an internet connection is required. You can change the merchant name, adjust dates, add or remove line items, update prices, switch categories, and modify tags. The editing experience is the same whether the expense was scanned, typed, or spoken. Open any expense from your home screen and tap the edit button to start making changes. ## What You Can Edit ### Receipt Details - Merchant name - Date - Currency - Receipt-level discount - Tags (add, remove, or change) ### Line Items - Add new items - Edit item name, quantity, price - Change item category - Adjust item-level discounts - Remove items ## What You Can't Change - **Source type** — How the expense was originally added (scanned, manual, or voice) is recorded permanently. You can't change a manual entry to appear as a scan. - **Uploaded file or image** — The original receipt photo or PDF is attached permanently. You can't swap it out for a different file. ## Rescanning a Receipt For expenses that were originally scanned, you have a **Rescan** option. This sends the original image or PDF back through the AI for a fresh extraction. It's useful when the first scan missed something or got a detail wrong. ### Rescan replaces your changes If you've made manual edits to a scanned receipt, rescanning will overwrite those changes with fresh AI-extracted data. The app warns you before proceeding so you don't lose corrections by accident. ## Deleting Expenses You can delete any expense you have permission to edit. Open the expense, tap the delete option, and confirm. ### Deletion is permanent There is no undo, no trash folder, and no recovery. Once you delete an expense, it's gone. Make sure you want to remove it before confirming. ## Permissions in Shared Projects In shared projects, editing and deleting permissions depend on your role: ### Project Owner - Edit any receipt in the project - Delete any receipt in the project - Move receipts between projects ### Project Member - Edit your own receipts - Delete your own receipts - Cannot edit other members' receipts - Cannot delete other members' receipts **Personal receipts** (not in a shared project) are always fully under your control. You can edit and delete them without restrictions. ## Tips ### Edit with Voice If you have premium, you can use **Edit with Voice** to describe changes verbally instead of tapping through fields. Say something like "change the merchant to Walmart and remove the second item." ### Rescan Before Editing If a scanned receipt has many errors, try rescanning first. It's faster than correcting each field manually, and you can always tweak the results afterward. ### Moving Receipts Project owners can move receipts between projects. Instead of one long list of every receipt you have ever scanned, you create separate buckets for different purposes: a business trip, a home renovation, monthly groceries, a side project. Each project tracks its own expenses, has its own currency, and generates its own reports. You can also share projects with other people, but that is covered in the [Sharing Projects](/help/sharing-projects.md) article. ## How to Use It ### Creating a Project - Open the Projects page from the Home screen and tap the **+** button. - Enter a project name and optional description. - Pick an icon from the 15 presets: folder, home, briefcase, shopping cart, car, airplane, restaurant, medical, school, fitness, pets, celebration, savings, construction, or child care. - Choose a color to visually distinguish this project from others. - Set the project currency. This is fixed at creation and applies to every receipt in the project. - Tap **Create**. ### Adding Expenses to a Project When you add a receipt (scan, voice, manual entry), select the target project before saving. The expense is then tied to that project and counted toward its totals. ### Viewing a Project Tap any project to see its overview. You will see the project name, member count, total spending, and a list of recent expenses. From here you can also access the project's reports and settings. ### Seeing the Total Project Cost to Date Reports open on the current month by default, so to see a project's full cost to date you switch the time period to the whole project: - On the Home screen, tap the name at the top (it reads **Personal Receipts** when no project is selected) and choose the project you want. - Open the **Reports** tab. - Tap the time period filter near the top — it defaults to the current month. - Choose **Entire Project**. The all-time total appears in the center of the chart, with the full breakdown below it — no need to set custom dates. The **Entire Project** option only shows once a project is selected, so make sure to pick it in step 1 first. ### Editing a Project Open the project and tap the settings icon. You can change the name, description, icon, and color. The currency cannot be changed after creation. ### Archiving a Project Only the project owner can archive a project. Archiving hides it from the active project list but does not delete anything. You can still access archived projects and their data from the archived section at the bottom of the project list. ## Tips ### Personal Expenses Still Work You do not have to put every expense into a project. Receipts without a project live in your personal expenses and appear in your personal reports. Projects and personal expenses exist side by side. ### Currency Is Locked The currency you choose at project creation applies to all receipts in that project. Pick carefully. If you need a different currency, create a new project. ### Use Icons and Colors With multiple active projects, icons and colors make it easy to tell them apart at a glance. Pick something descriptive: a car icon for your vehicle project, a home icon for household expenses. ### Archive Instead of Delete Finished a project? Archive it. Project sharing is a premium feature and requires an active Receiptix subscription. ## How to Use It ### Inviting Members - Open the project you want to share. - Tap the **Share** button. - Receiptix generates a shareable invite link. - Send the link to the people you want to invite (text, email, messaging app, whatever works). - When someone opens the link and joins, they appear in the project's member list. Only the project owner can generate invite links and add or remove members. ### Member List The member list shows every person in the project. Each entry displays the member's display name, profile photo, and role (owner or member). The owner is clearly labeled. ### Removing Members The project owner can remove any member from the project. Tap the member's entry and confirm removal. Their previously added receipts remain in the project. ## Permissions ### Owner - Edit and delete all receipts in the project - Invite new members and remove existing ones - Edit project settings (name, description, icon, color) - Archive the project - Move receipts between projects - Access all reports and exports ### Member - Add new receipts to the project - Edit and delete their own receipts only - View all receipts and project data - See the per-member spending breakdown - Access all reports and exports ## Tips ### Member Spending Breakdown The reports tab shows how much each member spent. Use this to settle up after a trip or split shared costs without guesswork. ### Everyone Sees Everything All members can see all receipts in the project. If you need to track expenses privately, use a personal (non-shared) project instead. ### One Owner per Project The person who creates the project is the owner. Ownership cannot be transferred. If you need a different owner, create a new project. ### Premium Required Project sharing requires a Receiptix subscription. The project owner needs an active subscription. Members can join shared projects on any plan. ### What the Owner's Subscription Covers The owner's subscription covers everything inside the shared project itself — invited members can add and manage receipts there with no subscription of their own. No subscription required. ## How to Use It ### Report Tabs The reports screen has three tabs. All three share the same date range and filters. ### Categories Report Pie and bar chart showing spending by the 27 built-in categories. Each category shows its percentage of total spending and the exact amount. ### Tags Report Spending grouped by your custom tags. Since a single expense can have multiple tags, percentages may add up to more than 100%. This is expected. ### Members Report Only available in shared projects. Shows how much each member spent during the selected period. Useful for splitting costs or tracking individual contributions. ### Changing the Date Range Swipe horizontally on the date bar to move between periods. Tap the period label to switch between presets: week, month, quarter, year, or a custom date range. All three report tabs update together when you change the date range. ### Filtering Tap the filter button to open the unified filter panel. You can filter by: - Categories (select one or more of the 27 categories) - Tags (select one or more custom tags) - Members (in shared projects only) - Special filters: tagged-only or untagged-only expenses The filter button shows a badge with the number of active filters. Tap **Clear All** inside the filter panel to reset everything. ## Tips ### Tags Can Overlap One receipt tagged "Business" and "Travel" counts toward both tags. The tags report reflects this, so the sum of all tag amounts may exceed the total spending for the period. ### Filters Apply Everywhere When you set a filter, it applies to all three report tabs and to any PDF or CSV export you generate while the filter is active. ### Custom Date Ranges Need a report for a specific trip or billing cycle? Use the custom date range option to set exact start and end dates. ### Free to Use Charts and analytics are available on the free plan. The report is processed in the background and delivered to your email with a download link that expires after 3 days. ## CSV Export ### Export from the Receipts Page Looking for a spreadsheet? CSV export lives on the **Receipts page**, not the Reports page. Tap the menu on the Receipts page and choose **Export** to get a CSV file with one row per line item: - Transaction ID, date, and merchant - Item description, unit price, quantity, and total - Currency and category - Tags (optional) The CSV opens in Excel, Google Sheets, Numbers, or any accounting software. Use it when you need to do your own calculations, pivot tables, or imports. ## Tips ### Filters Carry Over Reports export exactly what you see on screen. If you have filtered to a specific category, tag, or member, the export only includes those matching expenses. Useful if your address gets unwanted mail ## Tips & Details ### Works With Any Email App Gmail, Outlook, Apple Mail, Yahoo — anything that can forward an email works. You can also set up auto-forwarding rules in your email provider to send receipts automatically. ### Rate Limit You can forward up to 20 receipt emails per hour. This is per user, not per address — personal and project addresses share the same limit. ### Attachment Size Individual attachments can be up to 20 MB. Unsupported file types (like .zip or .doc) are silently skipped — only images and PDFs are processed. ### Address Security Your email address is unique and randomly generated. If it ever gets compromised or starts receiving spam, regenerate it — the old one stops working immediately. ### No Confirmation Emails You won't receive a reply or confirmation when forwarding receipts. They work differently by design. Categories are fixed and assigned to individual line items. They power AI categorization and standardized reporting. Daily reminders fire every day. ## What You'll See When a reminder fires, you'll get a notification on your device. Expense Reminder Take a moment to record your expenses Tapping the notification opens Receiptix so you can quickly add any outstanding expenses. ## Notification Permissions Reminders require notification permissions from your device. Here's what to know: - **iOS permissions** -- Receiptix requests notification permissions during onboarding (provisional). You can grant or deny them at that point. - **Disabled notifications** -- if system notifications are turned off for Receiptix, a warning appears in Settings with a link to open iOS Settings so you can re-enable them. - **No permissions = no reminders** -- reminders won't work if notification permissions aren't granted. The app will let you know. ## Tips - Your current reminder status (Enabled or Disabled) is shown in Settings so you always know where things stand. - Reminder settings persist across app restarts. Receiptix gives you a personal @in.receiptix.io address — forward any receipt email to it (an order confirmation, a hotel bill, an e-receipt) and it becomes an expense automatically. Yes — point your camera at a receipt and Receiptix reads the merchant, date, total, and each line item, then files it. It handles printed receipts in any language. The scanning is accurate, but it's worth a glance for handwritten or faded receipts, and anything it gets wrong is a tap to fix. ### Can I log expenses by voice? Yes. Tap the mic and say what happened — "lunch at Chipotle, thirty-five bucks" — and Receiptix turns it into a full entry with the amount, merchant, category, and date. Home-screen widgets (on iOS and Android) show your spending total and trend at a glance. ## Organizing & sharing ### What are Projects? Projects are separate spaces for expenses that deserve their own budget — a home renovation, a group trip, a freelance client, a shared household. Each one has its own receipts, reports, currency, and member list, kept apart from your personal spending, and a dropdown switches between them. Creating projects is a Pro feature. [About Projects](/features/projects.md) ### Can I share expenses and track them with other people? Yes. Open a project, tap Share, and send the invite link to whoever's involved. They join and log their own expenses to the same project — by scan, voice, or typing — and the project report breaks spending down by person, so settling up is just math instead of a group chat. The owner manages members, and joining a shared project is free even without a Pro subscription of your own. ### Does Receiptix categorize expenses automatically? Yes, and it does it per item rather than per receipt. Buy shampoo and snacks in one supermarket run and the shampoo lands under Healthcare, the snacks under Food — automatically, from reading the merchant name and each line item. If it ever picks the wrong one, a tap changes it. ### What's the difference between categories and tags? They do different jobs: - **Categories** apply to individual items; **tags** apply to a whole transaction - **Categories** are a fixed list the AI uses for automatic sorting; **tags** are fully customizable - You can add several **tags** to one transaction, so they're great for flexible organizing Together you get reliable automatic categorization for items, plus custom tags for organizing transactions however you like. ### Can I add custom categories? Categories are a fixed list because the AI relies on them for consistent automatic sorting, so you can't add your own. Tags are the flexible alternative — fully customizable, as many as you like per transaction — and they exist for exactly this. Use tags to organize by client, trip, event, or anything else specific to you. ## Reports & money ### What reports and charts do I get? Receiptix turns your expenses into charts — spending by category, by custom tag (handy for what's tax-deductible or reimbursable), or by person in a shared project. Pick any date range and the numbers adjust. When you need something official, export a PDF summary on the spot, or a detailed report with the actual receipt images emailed to you. ### How do I see the total cost of a project to date? Select the project first — tap the name at the top of the Home screen (it reads "Personal Receipts" when none is selected) and pick it. Then open Reports, tap the time period filter (it defaults to the current month), and choose "Entire Project." The all-time total appears in the center of the chart, no custom dates needed. The "Entire Project" option only shows once a project is selected. ### Can I export my data? Yes. Export a quick PDF summary from your device, a detailed expense report with receipt images (generated on our servers and emailed to you), or raw data as CSV for a spreadsheet or your accountant. Exports respect whatever filters and date range you're viewing. ### Can I track expenses in multiple currencies? Yes — log expenses in any currency and Receiptix converts them into your base currency for totals and reports, so a trip full of mixed receipts still adds up cleanly. Each project can have its own currency, too. ### Can I use Receiptix for business or travel? Both. For business, use Projects to separate work from personal spending, tags for clients or reimbursable costs, and PDF or CSV reports for your records. Yes, in real time, and it's free on every account. Add an expense on your phone and it shows up on the web and your other devices straight away. No connection? Your data is stored in Google's cloud (Firestore), encrypted in transit and at rest, and reachable only through your signed-in account. Information We Collect **Account Information.** When you create an account, we collect your email address (required) and optionally your name and profile photo. If you sign in with Apple, Google, or another authentication provider, we receive the basic profile information that provider chooses to share. **Expense Data.** This is the data you create as you use the app. It includes: - Images and PDFs of receipts you upload or scan - Text data extracted from those receipts (merchant, date, line items, totals, taxes, currency) - Manually entered expense information - Voice notes converted to text by your device's speech recognition (we do not retain the audio) - Categories, tags, projects, and notes you add to your expenses **Subscription and Purchase Data.** When you subscribe to a paid plan, we receive subscription status, plan tier, currency, renewal date, and original transaction identifiers from Apple, Google, or RevenueCat. We do not see or store payment card numbers or bank account details — those are handled by Apple and Google. **Project Sharing Data.** If you share a project with another user, your display name and profile photo (but not your email address) become visible to other members of that project, and theirs to you. **Telegram Linking Data.** If you link your account to our Telegram bot, we store your Telegram user ID so we can associate Telegram messages with your account. We do not store Telegram usernames or unrelated message content. **Device and Technical Data.** To operate the Service, we automatically collect: - Device identifiers such as Firebase Installation ID - Push notification tokens (so we can send you reminders and notifications you've enabled) - App version, operating system, device model, language, and timezone - IP address (logged automatically by our hosting infrastructure for security and abuse prevention) - Crash reports and diagnostic logs via Firebase Crashlytics - Usage events such as screen views, feature interactions, and error rates via Firebase Analytics **What we do not collect.** We do not collect advertising identifiers (IDFA on iOS, GAID on Android). Legal Basis for Processing (UK and EU Users) Under UK GDPR and EU GDPR, we rely on the following legal bases to process your personal data: - **Performance of contract** — to provide the Service you've signed up for, including storing your expenses, processing receipts, and delivering subscription benefits. - **Legitimate interests** — to keep the Service secure, prevent abuse, measure product performance, improve the app, and send product and lifecycle messages (emails and push notifications) about features and updates similar to the Service. You can opt out of emails via the unsubscribe link in any message and turn off push notifications in your device settings. - **Legal obligation** — where we are required to retain or disclose data to comply with applicable law. ## 4. Third-Party Services and Sub-Processors We rely on the following service providers to deliver the Service. Each processes personal data only on our behalf and only for the purposes described. - **Google / Firebase** (United States and EU) — authentication, database (Firestore), file storage (Cloud Storage), Cloud Functions, push notifications (FCM), crash reporting (Crashlytics), and analytics (Firebase Analytics / Google Analytics 4). - **Google Document AI** (United States and EU) — extracting text from receipt images and PDFs. - **Anthropic** (United States) — categorizing and structuring receipt data using the Claude API. Anthropic does not train its models on data submitted via the API. - **RevenueCat** (United States) — managing in-app subscriptions, entitlements, and subscription analytics. - **Bento** (United States) — sending transactional and lifecycle emails (account confirmation, subscription notifications, expense reports). Bento receives your email address, name, Firebase user ID, and subscription events. Bento does not receive your expense data. - **Apple** (United States) — App Store distribution, in-app purchase processing, push notification delivery (APNs), and (where applicable) on-device or cloud-based speech recognition for voice mode on iOS. - **Google Play** (United States) — Play Store distribution, in-app purchase processing, and (where applicable) on-device or cloud-based speech recognition for voice mode on Android. - **Telegram** (United Arab Emirates) — only if you choose to link a Telegram account. Telegram receives the messages you send to our bot and the responses our bot sends back. We may add or change sub-processors over time. Material changes will be reflected in this policy. ## 5. Data Storage, Security, and Retention **Where your data is stored.** Your data is stored using Google Firebase, primarily in data centers operated by Google. Some data may be processed in the United States or other regions where our service providers operate (see Section 6 on international transfers). **Security.** We implement industry-standard technical and organizational measures to protect your data, including encryption in transit (HTTPS/TLS), encryption at rest, role-based access controls, and authentication. **Retention.** We retain your account and expense data for as long as your account remains active. When you delete your account (see [Account Deletion](/account-deletion)), we delete your personal data and expense records from our active systems within 30 days. Some information may remain in encrypted backups for up to 90 days before being permanently removed. Anonymized usage statistics, security logs, and aggregate metrics may be retained longer for product improvement and compliance purposes. ## 6. International Data Transfers Reciptix LLP is registered in the United Kingdom. Most of our service providers are based in the United States or operate global infrastructure. When your personal data is transferred outside the UK or the European Economic Area, we rely on appropriate safeguards to protect it, including: - The UK International Data Transfer Agreement and the European Commission's Standard Contractual Clauses (SCCs) - The UK extension to the EU-US Data Privacy Framework, where applicable - Other transfer mechanisms recognized by UK and EU data protection law ## 7. Data Access by Our Team Your expense data is processed automatically by our systems. Our team does not proactively browse or read user data. Access to individual user data by our team is limited to specific situations: - Responding to a support request you've sent us - Investigating a technical issue or bug you've reported - Investigating suspected fraud, abuse, or a security incident - Complying with a legal obligation ## 8. California Privacy Rights (CCPA / CPRA) If you are a California resident, the California Consumer Privacy Act (CCPA), as amended by the California Privacy Rights Act (CPRA), gives you specific rights regarding your personal information. **Categories of personal information we collect.** In the past 12 months, we have collected the following categories: identifiers (email, user ID, device identifiers); commercial information (subscription data); internet or other electronic activity (usage events, crash reports); geolocation data (only the country/region inferred from IP address); and other information you provide (expense data). **Your CCPA/CPRA rights:** - **Right to know** what personal information we collect, use, disclose, and share - **Right to delete** personal information we have collected from you - **Right to correct** inaccurate personal information - **Right to opt out of sale or sharing** of personal information. Cookies and Tracking Technologies **In the app:** the Receiptix mobile app does not use browser cookies. It does use device identifiers and similar technologies (Firebase Installation ID, push tokens) as described in Section 1. **On our website:** our website ([receiptix.io](https://receiptix.io)) uses cookies for essential functionality and Google Analytics. **In our emails:** our transactional and lifecycle emails may include open tracking pixels so we can measure delivery and engagement at an aggregate level. If you would prefer not to be tracked in this way, most email clients allow you to disable image loading. ## 11. Children's Privacy Receiptix is not directed at children. The Service is intended for users aged 16 and over. We do not knowingly collect personal data from anyone under 16. If you are a parent or guardian and you believe your child has provided us with personal data, please contact us at [support@receiptix.io](mailto:support@receiptix.io) and we will delete the account. For users in the United States: in compliance with the Children's Online Privacy Protection Act (COPPA), we do not knowingly collect personal information from children under 13. ## 12. Data Breach Notification If we become aware of a personal data breach that is likely to result in a risk to your rights and freedoms, we will notify the relevant supervisory authority (in the UK, the Information Commissioner's Office) within 72 hours of becoming aware of the breach, where required by law. Acceptance of Terms By creating an account, downloading the app, or otherwise using the Service, you confirm that you are at least 16 years old and that you accept these Terms and our [Privacy Policy](/privacy-policy.md). If you are using the Service on behalf of an organization, you confirm that you have authority to bind that organization to these Terms. ## 2. Description of the Service Receiptix is a personal expense tracking application that helps users capture, organize, and analyze their expenses. The Service includes receipt scanning, manual and voice expense entry, categorization, multi-currency support, project sharing, reporting, and integration with platforms such as Apple Watch, Siri, Telegram, and WhatsApp. To deliver these features we rely on a number of third-party services, including but not limited to Google Firebase, Google Document AI, Anthropic Claude API, RevenueCat, and Bento. A complete list of sub-processors is available in our [Privacy Policy](/privacy-policy.md). Receiptix is a tool for tracking and organizing your own expense information. It does not provide financial, tax, legal, or investment advice; it does not manage, hold, or transfer funds; and it is not a regulated financial service. You are responsible for verifying the accuracy of any data the Service produces, particularly automatically extracted receipt data. ## 3. Subscription Terms Receiptix offers a free tier and several paid subscription plans, including monthly, annual, and "lifetime" subscriptions. Important things to understand about subscriptions: - Paid subscriptions are processed by Apple, Google, or another platform we use, and are subject to the platform's billing terms. - Subscriptions automatically renew at the end of each billing period unless cancelled at least 24 hours before the renewal date, through your platform account settings. - All subscriptions, including "lifetime" subscriptions, are valid only for the lifetime of the Service. A "lifetime" subscription refers to the lifetime of the product, not the lifetime of the user. - We reserve the right to discontinue the Service or any of its features at any time. If we discontinue the Service, we are not obligated to provide refunds for prepaid or "lifetime" subscriptions. - Prices may change. We will notify you of material price changes before they take effect. For iOS users making in-app purchases: by using the Service and making purchases, you consent to our sharing of usage and consumption data with Apple as part of our efforts to resolve refund requests. This is done in compliance with Apple's policies and only as necessary to process such requests. ## 4. Refund Policy All purchases are processed by Apple or Google through their respective stores. User Responsibilities By using the Service, you agree to: - Provide accurate information when registering and keep your account credentials secure - Use the Service only for lawful purposes and in compliance with these Terms - Be responsible for all activity that occurs under your account - Notify us promptly if you suspect unauthorized access to your account - Not upload content that is offensive, illegal, infringing, or harmful - Verify the accuracy of expense data extracted automatically by the Service before relying on it for any purpose **Business Use Restrictions.** If you are using the Service with fully free lifetime access (such as through promotional lifetime offers or complimentary lifetime grants), you may only use the Service for personal, non-commercial purposes. Business or commercial use of the Service — including tracking business expenses, collecting expenses for company reimbursement, or any work-related expense management — requires a paid subscription. Project Sharing Receiptix allows you to share projects with other users. When you share a project: - You make the receipts, categories, and other content of that project visible to the people you invite. - Your display name and profile photo become visible to other members of the project. - Your email address is not shared with other members. - Members you invite may add their own receipts and edit shared content according to the permissions you grant them. - You remain the owner of the project and can remove members or stop sharing at any time. You are responsible for choosing carefully who you share projects with. Once content is visible to another user, that user may have copied or screenshotted it; we cannot retroactively remove information from another person's memory or device. ## 7. Prohibited Activities You agree not to: - Use the Service for any unlawful purpose or in violation of any applicable law - Reverse-engineer, decompile, or attempt to extract the source code of the Service, except where this is expressly permitted by law - Interfere with or disrupt the Service, its servers, or its networks, including by introducing malicious code - Attempt to gain unauthorized access to any part of the Service, accounts, or systems - Use automated means (bots, scrapers, etc.) to access or use the Service in a way that places excessive load on our systems - Resell, sublicense, or otherwise commercially exploit the Service except as expressly permitted under your subscription - Use the Service to harass, abuse, or harm others ## 8. Intellectual Property The Service, including its software, design, branding, and content (excluding content you upload), is owned by Reciptix LLP and is protected by copyright, trademark, and other intellectual property laws. We grant you a limited, personal, non-exclusive, non-transferable, revocable license to use the Service for its intended purpose, subject to these Terms. You retain ownership of the content you upload to the Service (receipts, photos, expense data). By uploading content, you grant us a non-exclusive, worldwide, royalty-free license to host, store, process, and display that content solely for the purpose of operating the Service for you. ## 9. DMCA and Copyright Complaints If you believe content on the Service infringes your copyright, please send a written notice to [support@receiptix.io](mailto:support@receiptix.io) including: - A description of the copyrighted work you claim has been infringed - The location (within the Service) of the allegedly infringing material - Your contact information (name, address, email, telephone) - A statement that you have a good-faith belief that the use is not authorized by the copyright owner, its agent, or the law - A statement, made under penalty of perjury, that the information in your notice is accurate and that you are the copyright owner or authorized to act on the owner's behalf - Your physical or electronic signature We will respond to valid notices in accordance with applicable law. ## 10. Limitation of Liability To the maximum extent permitted by applicable law, Reciptix LLP and its officers, partners, employees, and agents shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including but not limited to loss of profits, data, goodwill, or other intangible losses, arising out of or in connection with your use of (or inability to use) the Service. Our total aggregate liability to you for all claims arising out of or relating to the Service or these Terms shall not exceed the greater of: (a) the amount you have paid us for the Service in the twelve months preceding the event giving rise to the claim, or (b) fifty pounds sterling (£50). **Nothing in these Terms limits or excludes our liability for: death or personal injury caused by negligence; fraud or fraudulent misrepresentation; or any other liability that cannot be limited or excluded under applicable law.** If you are a consumer in the United Kingdom or European Union, your statutory rights are not affected by these Terms. ## 11. Indemnification You agree to indemnify and hold harmless Reciptix LLP and its officers, partners, employees, and agents from any claims, damages, losses, liabilities, and expenses (including reasonable legal fees) arising out of or in connection with: (a) your use of the Service in breach of these Terms; (b) your violation of any law or the rights of a third party; or (c) content you upload or share through the Service. ## 12. Disclaimer of Warranties The Service is provided "as is" and "as available" without warranties of any kind, express or implied, except as required by applicable law. We do not warrant that the Service will be uninterrupted, error-free, or completely secure, or that any data extracted by automated means (such as receipt OCR) will be accurate or complete. ## 13. Modifications to the Service We reserve the right to modify, suspend, or discontinue any part of the Service at any time, with or without notice. Where reasonably possible, we will give you advance notice of significant changes. ## 14. Termination You may stop using the Service and delete your account at any time. We may suspend or terminate your access to the Service if you violate these Terms or engage in conduct that is harmful to us, other users, or the Service itself. In serious cases (such as fraud or illegal activity) we may do this without prior notice. Where appropriate and feasible, we will give you the opportunity to address the issue first. Upon termination, your right to use the Service ends immediately. Sections of these Terms that by their nature should survive termination (including limitation of liability, indemnification, intellectual property, governing law, and dispute resolution) will survive. ## 15. Force Majeure We will not be liable for any failure or delay in performing our obligations under these Terms where such failure or delay results from circumstances beyond our reasonable control, including natural disasters, war, terrorism, civil unrest, government action, labor disputes, internet or power outages, or failures of third-party services on which the Service depends. ## 16. Assignment You may not assign or transfer these Terms or any rights under them without our prior written consent. We may assign these Terms (in whole or in part) to an affiliate, successor, or acquirer in connection with a merger, acquisition, sale of assets, or similar transaction, with notice to you. ## 17. Severability If any provision of these Terms is found to be unlawful, void, or unenforceable, that provision will be limited or eliminated to the minimum extent necessary, and the remaining provisions will remain in full force and effect. ## 18. Entire Agreement These Terms, together with our [Privacy Policy](/privacy-policy.md), constitute the entire agreement between you and Reciptix LLP regarding the Service and supersede any prior agreements between you and us relating to the Service. ## 19. Governing Law and Jurisdiction These Terms are governed by the laws of England and Wales, without regard to conflict-of-laws principles. Any dispute arising out of or in connection with these Terms or the Service shall be subject to the exclusive jurisdiction of the courts of England and Wales, except where you are a consumer entitled to bring proceedings in the courts of your country of residence under applicable consumer law. ## 20. Changes to These Terms We may update these Terms from time to time. When we make material changes, we will update the "Last Updated" date below and, for significant changes, notify you by email or through the app. Your continued use of the Service after the changes take effect constitutes acceptance of the updated Terms.
